1. Who we are

Fluxi Intelligence S.L. ("Fluxi", "we", "us") is a Spanish limited liability company with registered address at Calle Andarella 2, 46950 Valencia, Spain. We operate the Fluxi platform at fluxilabs.com.

2. What data we collect

We collect the following categories of personal data:

  • Account data: name, email, authentication credentials.
  • Workspace data: company information, team members, roles.
  • CRM data from authorized integrations: contacts, companies, deals, emails, calendar events, and other business data imported from HubSpot, Gmail, Google Calendar, and similar platforms you connect to Fluxi.
  • Usage data: how you interact with the platform (pages visited, features used, timestamps).
  • Technical data: IP address, browser type, device information.
  • Security audit metadata: limited metadata about platform activity for security monitoring. Personal identifiers are not recorded in clear text.

3. How we use your data

We process your data for the following purposes:

  • Providing and operating the Fluxi platform.
  • Generating revenue intelligence, forecasts, and recommendations based on your CRM data.
  • Executing workflows you configure (e.g., enrichment, notifications).
  • Improving our product and ensuring security.
  • Detecting and preventing abuse and security threats.
  • Communicating with you about your account, updates, and support.
  • Complying with legal obligations.

4. Legal basis (GDPR)

Under GDPR, we process personal data based on:

  • Contract performance: to provide the service you subscribed to.
  • Legitimate interests: to improve the product and prevent abuse.
  • Consent: when you explicitly authorize specific integrations.
  • Legal obligations: tax, accounting, and regulatory requirements.

5. Data sharing and third parties

We do not sell your data. We share data with:

  • Infrastructure providers: cloud hosting and infrastructure providers in the EU, all certified to industry security standards. A current list is available on request and in our DPA.
  • AI providers: leading AI providers for AI-powered features. We send only the minimum data necessary to generate responses.
  • Integrations you authorize: HubSpot, Gmail, Base Loop, Clay, Slack, etc. Data is shared only with providers you explicitly connect.
  • Authorities: when legally required.

6. Data location and transfers

Your data is stored in the European Union. Some sub-processors may process data outside the EU under appropriate safeguards (Standard Contractual Clauses).

7. Data retention

We retain your data for the duration of your account. Upon account deletion, personal data is deleted within 30 days, except where retention is legally required (e.g., invoicing records for 10 years under Spanish law). Security audit metadata is retained for 90 days and then automatically pruned. Backups are automatically purged after 7 days.

8. Your rights (GDPR)

You have the right to:

  • Access your data.
  • Rectify inaccurate data.
  • Delete your data ("right to be forgotten").
  • Restrict or object to processing.
  • Data portability.
  • Withdraw consent.
  • Lodge a complaint with the Spanish Data Protection Agency (AEPD).

9. Security

We implement technical and organizational measures to protect your data, including encryption at rest and in transit, access controls, multi-tenant isolation, and regular security reviews. See our Security Overview.

10. Children

Fluxi is a B2B platform not intended for children under 16.

11. Changes to this policy

We may update this policy. Material changes will be communicated via email or in-app notification at least 30 days before taking effect.
